How do I know every paragraph of the regulation is covered?

Every Part ships with a free public Compliance Matrix PDF — ungated, downloadable before you buy. It lists every paragraph of the regulation as a row, with its coverage status (Covered / Informational / Out of scope) and the audit questions that map to it. You can verify the methodology paragraph-by-paragraph before paying. The free matrix is the auditor-of-the-auditor artefact and the single biggest differentiator against template-pack competitors.

What regulation version is the checklist reviewed against?

Every Compliance Matrix identifies the exact Easy Access Rules version the Part was reviewed against. Card stat lines on the catalog also show the current version. You always know exactly which edition of the regulation the checklist tracks.

What if the regulation references AMCs or GM you haven't covered?

Every IR, AMC and GM paragraph in scope is individually reviewed. Paragraphs that don't carry an obligation (definitions, scope statements, characterisation lists) are recorded as Informational in the matrix rather than generating an audit question — they're acknowledged, not skipped. Authority-side paragraphs (Part-ARA, Part-CL and equivalents) are explicitly out of scope: they apply to the regulator, not your organisation.

How are audit questions structured?

Each audit question carries: the regulatory citation it derives from, the source-verbatim regulation text inline, a four-state compliance classification (Documented & Implemented / Documented Not Implemented / Not Documented Implemented / Not Documented Not Implemented), a finding-level field (Level 1 / Level 2 / Observation), suggested evidence, and an Organisation Manual reference field for your internal cross-reference. Structured for sample-based auditing under EASA's management-system framework.

Using the checklist

What happens if EASA amends the regulation during my 12 months?

Every EASA amendment within your 12-month update window is re-authored against the new version, re-rendered through the same pipeline, and emailed to you automatically. Our publish SLA is 30 days from the date EASA publishes — non-delivery within that window counts as a defect under the refund policy. You don't have to watch the EUR-Lex feed; we do.

What formats do I receive?

Five artefact formats, one canonical content set:

  • Audit Checklist PDF — the auditor's working document, print-ready.
  • Audit Checklist MD — same content as plain text. Grep against last year's edition, convert via pandoc, feed to internal LLM-assisted review.
  • Audit Workbook XLSX — multi-sheet interactive working spreadsheet with dropdowns, conditional formatting, Findings Log, Cross-Reference Register, Dashboard.
  • Data Bank CSV — flat one-row-per-question table for upload into third-party audit and GRC software. Opens in Excel for buyers who prefer XLSX.
  • Question Bank XML — lean structured schema with a stable XSD contract for buyers running structured ingestion.

Can I share the checklist with my team?

Within your organisation, yes — employees and contractors working for the named licensee organisation may use, print, annotate and reference the checklist as part of their normal work. Sharing outside the organisation (other firms, file-sharing networks, supplier portals, vendor GRC systems) is not permitted under the licence. Each operating approval — each AOC, Part-145 approval, CAMO approval, ATO approval — needs its own licence; see the multi-site question below.

I have multiple approvals across different sites — do I pay per site?

Yes, each separately-approved site needs its own licence. The ladder is self-serve up to 3 sites: 1 site at full price, 2 sites at 1.6×, 3 sites at 2×. Four or more sites — email licences@avicert.net for group licensing. Multi-site pricing reflects the same currency promise applied to each separately-regulated entity, not a "bulk discount."

Does this work with Q-Pulse / Ideagen / ETQ / our internal QMS?

The Data Bank CSV and Question Bank XML are designed for ingestion into third-party audit and GRC software with structured-import support. The XML carries a stable XSD contract so your data team can map the schema once. The CSV is the universal-format fallback for tools that accept flat tabular input. The Audit Workbook XLSX is also a standalone working format if your team prefers spreadsheet-based audits.

What if I find an error in the checklist?

Email support@avicert.net with what you've found. If we verify the defect (wrong content, corrupt files, regulation-version mismatch, missed paragraph), we refund the full purchase and fix it in the next publish. Defect-only refunds, but no time window — you can claim a defect refund at any point during the 12-month update period.

What happens at the end of the 12 months?

You keep every artefact you've downloaded — forever, no DRM, no remote disable. What stops is the delivery of new EASA amendments published after your update period ends. Thirty days before that date we'll email you a one-click link to buy the next 12 months at the then-current published price. If you renew, the new 12 months back-dates to the original anniversary so there's no missed-month gap. If you don't renew, nothing else happens — you have what you have.

I lost the download email. How do I get the files back?

Email support@avicert.net from the same email address you used at purchase. We'll resend fresh download links within one business day. The artefacts you originally purchased don't expire — we can re-issue links to the exact edition you bought, even after your update period has ended.

Buying & invoicing

Is this a subscription? Will my card be auto-debited?

No. It's a one-off purchase that includes 12 months of updates. Same procurement shape as buying a consultant cycle or a Jeppesen Airway Manual cycle — single invoice, single approval line, no card-on-file. Thirty days before your update period ends we'll email you a one-click link to buy the next 12 months. You choose; nothing happens automatically.

Do I get a proper VAT invoice for our accounting?

Yes. A VAT-compliant invoice PDF is issued automatically on payment completion, addressed to the organisation name you provide at checkout (not the cardholder's personal name). The invoice carries a sequential number, the supplier VAT details for Contenza K/S, CVR 43349023, Denmark, and full line-item VAT breakdown. EU B2B reverse-charge handling is automatic when you provide a valid VAT ID — the invoice clearly states "Reverse charge — VAT to be accounted for by the recipient."

Can I be invoiced first and pay on terms (NET 30 / NET 60)?

Yes — for buyers whose procurement requires a PO and invoice before payment. Email licences@avicert.net with your details and which Part(s) and site count you need. We'll issue a Stripe Invoice addressed to your organisation that can be paid by card, bank transfer, or ACH on your terms. Default self-serve checkout uses card-then-invoice; the manual route exists for procurement-heavy buyers who can't reverse that order.

What payment methods do you accept?

Through Stripe Checkout: all major credit and debit cards, SEPA Direct Debit for EU buyers, and Apple Pay / Google Pay where supported. EU B2B buyers can provide a VAT ID at checkout for automatic reverse-charge handling. For invoice-first / NET-30 buyers, also bank transfer via Stripe Invoicing (manual route above).

Is my data safe? What do you store about us?

We store only what's required to deliver the product and meet bookkeeping law: your email, your organisation name, the country and VAT details captured at checkout, and the purchase record itself. Card data is held by Stripe, never by us. Server logs are retained for 90 days. Marketing contact is opt-in only via the unticked checkbox at checkout. You can email privacy@avicert.net for any GDPR request (access, correction, erasure, portability, objection).

What happens if my organisation restructures or is acquired during the year?

The licence doesn't transfer automatically with a sale or merger, but transfer is usually a formality — email licences@avicert.net with the original organisation name and the successor entity, and we'll update the licensee on record. The 12-month update period continues uninterrupted and future amendment emails switch to the new contact you provide.

Refund policy?

Defect-only refunds, no time window. If we ship wrong content, corrupt files, or content that doesn't match the regulation version we promised, email support@avicert.net and we'll verify and refund the full purchase. We don't offer no-questions refunds because the free Compliance Matrix and sample PDF are the pre-purchase verification path — any buyer reaching the Buy button has had every opportunity to verify the product is what they want.
